For SENCOs in England

SEND paperwork, kept in order.

Sendiphany tracks the statutory dates, logs every local authority exchange, gathers parent and staff views, and drafts the school’s EHCP contribution from your own evidence, reviewed and owned by the SENCO. More of the week for pupils.

What it does

The SENCO’s caseload, in one record per pupil

Seventeen things the product does today. Nothing listed here is a mock-up or a plan.

  • AI-assisted EHCP drafting, reviewed by you

A first draft of the school’s contribution in the twelve statutory sections, built only from the evidence you supply. Names are replaced before anything leaves the system, gaps are flagged, and the SENCO edits every word.

  • Local authority communication log

Every call and email per pupil, with response due dates. Assessments are tracked against the 20-week timescale, and a polite chase can go to the caseworker at week 18 if you opt in.

  • Safeguarding alerts

DoLS orders, health concerns, care arrangements and undisclosed needs recorded with a severity, shown where staff will see them, and resolved with a note.

  • Evidence documents

Reports and letters stored against the pupil in private storage, categorised and dated, ready for a request pack or an annual review.

  • Termly targets and progress

Targets linked to plan outcomes with baseline, success criteria and provision; progress rated each term so the review has evidence.

  • Parent and staff contribution forms

Secure, time-limited links for class teachers and parents. Responses land on the pupil’s record, dated and with consent to share recorded.

  • Outcomes Engine

Every EHC plan outcome reviewed termly, with gaps found automatically: no review this term, no targets or provision, stalled progress or regression.

  • Evidence Builder

Packs for assessment requests, annual reviews, tribunals and phase transfer, with a checklist of what is missing and an indexed Word export.

  • Secure parent portal

Parents sign in with their invitation link and an emailed code, message the school and receive only the documents you choose to share.

  • MAT Dashboard

For trusts: SEND compliance, overdue reviews, late assessments and outcomes at risk across every school, as counts only.

  • Support plans, reform-ready

A plan for every pupil on SEN support, with the proposed Targeted, Targeted Plus and Specialist tiers, termly reviews, a one-page profile and sharing with parents.

  • Costed provision map

Interventions with staffing, frequency, cost per pupil and funding source, and entry and exit measures that show impact as well as spend.

  • Inclusion strategy and training

Write the school inclusion strategy from your own figures, keep the whole-staff SEND training log, and export to Word for governors.

  • MIS sync via Wonde

Arbor, SIMS, Bromcom, ScholarPack and more: names, year groups, UPNs, SEN status and parent contacts sync nightly, read-only. CSV import too.

  • Google and Microsoft sign-in

Staff use the school account they already have. Owners can switch passwords off, so leavers lose access the day their account closes.

  • Team accounts

Invite colleagues with a role, keep one school record, and let the SENCO’s absence stall nothing.

How it works

Built around the statutory process, not around a dashboard

The SEND Regulations 2014 set the dates. Sendiphany starts from them and works back to what a school has to do each week.

  1. Step 1: Set up the register

Connect your MIS through Wonde, import a CSV, or add pupils by hand, with SEN status, key dates and contacts. Takes minutes, not a term.

  2. Step 2: Let the dates run

Record a request or plan date and the statutory deadlines appear with reminders attached.

  3. Step 3: Gather views by link

Teachers and parents respond on their own devices. Nothing to chase by email.

  4. Step 4: Draft, review, export

Build the school’s contribution from the evidence, edit it, export it to Word.

Trust

Written for the person who has to sign the DPA

Schools and their data protection officers ask the same questions. The answers are published, in plain terms, including what is not yet certified.

  • The school is the data controller and Sendiphany is the processor, under a published data processing agreement that covers every UK GDPR Article 28(3) term.
  • Each school’s data is separated by row-level security in the database, encrypted in transit and at rest, with two-factor authentication available and a 30-minute idle sign-out.
  • AI drafting runs only for pupils where the school has recorded consent, names are replaced with placeholders first, and prompts are not used to train models. How the AI works.
  • We do not yet hold Cyber Essentials or ISO 27001. Our security page says what is in place and what is not.

What Sendiphany is not

  • Not a local authority system. It is the school’s side of the process: your register, your dates, your evidence, your correspondence.
  • Not a plan writer. The authority writes the EHC plan. Sendiphany drafts the school’s contribution and keeps the record straight.
  • Not a replacement for judgement. Every date is a prompt and every draft is a draft. The SENCO decides.
